How to | Order Titles from the Suggestion List – Desktop #
Before ordering any titles from the Suggestions list, please check for the following information
- Incorrect information | Check the suggestion for any potential errors such as spelling errors that would be preventing bibliographic matches from being recognised, this is also an opportunity to update the Information in the suggestion detail to ensure it has the most correct information e.g. correct format is applied.
- Is the Title already held? | There are flash indicators for title match and ISBN match for existing works in the catalogue
If Discover Local/Remote is ticked when the suggestion is highlighted in the discover tab the Potential bibliographic match will appear.
Using the right click view title in search allows operators to assess whether the suggestion should be ordered or the reservation moved to the existing work.
Note operator can move the suggestion to the existing work by the discovery tab right click option Reserve this work for the user then delete the suggestion - Does the title meet Resource Development Plan guidelines? | If not additional Options in are available including, rejecting the suggestion or processing the suggestion as an ILL.
New Suggestions – Identifying suggestions to be ordered and loading work into the catalogue #
- Go to Suggestion Management – Desktop / Technical Services / Ordering / Suggestion Management:
- Open the New and Uncatalogued suggestions
- Determine if there is an existing work for this suggestion
- If yes the operator can via Local catalogue in Discovery tab Right click select – Reserve this work for the user then delete the suggestion or assign
- If no continue to step 4
- Assess suggestions to determine if it should be ordered or not.
- If the suggestion is to be ordered right click Mark as an `order request’ Note that the symbol next to the checkbox will change as each record is processed.
- Select the titles marked for order by ticking their checkboxes again, right-click to invoke the menu, and then Load into catalogue
- Operators can choose to load a basic record created from the suggestion information. or
- Operators can use the discovery and Remote cataloguing tab in suggestions to locate full marc records and “attached the marc to the suggestion” ready to be loaded via the right click Load into catalogue. More details see Attaching a MARC Record to a Suggestion
Ordering – Suggestions Marked as Order request and loaded into the catalogue #
- Select Approved, not yet ordered and Refresh the list:
- Select each title to be ordered in turn, by ticking its checkbox, right-click to invoke the menu, and then Place order
NOTE: if the option to ‘Place order’ is not offered, check that the option ‘Load into Catalogue’ has been taken [If it has been loaded the separate option to Search is now available instead] - The place an order screen will open When you click ‘Place Order’ you will move from the Suggestions display to the Place Order screen, for entry of the specific details:
- Supplier – Add supplier name (enter first letter(s) of the supplier name, and hit Return – this will present a drop-down list of suppliers alphabetically from that point – you can then select the supplier from the list)
- Select an existing purchase order or a new purchase order
- Complete the order form as normal – see Place an Order
- Save
- If the item is on reserve for a borrower a pop up box will appear advising of this
- Return to suggestion screen to process next suggestion
NOTE Enterprise parameter | SuggestAutoDelOnOrder – causes Suggestion to be deleted once an Order is created from the Suggestion

Attaching a MARC Record to a Suggestion #
Attaching using Discover tab
- Go to the Suggestions
- Select uncatalogued and refresh the results and ensure the discover – Local/Remote tick box is ticked
- Locate the title of the item you wish to attach the MARC record to and select its ticking box
- In the discover tab ensure remote catalogue(s) is selected – the system will run through the default remote catalogues for results with matching ISBN and display the options below.
- Check the content of each of the options by highlighting them ibn the discover tab and then selecting the marc tab to see its content.
- Choose the option that best suits the suggestion in the discover tab then right click then select “attach bibliographic work to suggestion“
- The flash on the work will change to
- Operators can now right click and load into the catalogue using the attached work.
Attaching using remote cataloguing tab
If the suggestion does not have an ISBN in the details operators are able to use the remote cataloguing tab to attached a bibliographic work by using other search terms.
- Go to the Suggestions
- Select uncatalogued and refresh the results and ensure the discover – Local/Remote tick box is ticked
- Locate the title of the item you wish to attach the MARC record to and select its ticking box
- Go to suggestion detail and copy the other search Term such as “title”
- Go to remote catalogues tab
- Select the preferred remote catalogue libraries
- Change the search to the search being undertaken e.g. Title
- Input search content and select the binoculars to run the search
- The results will display in the Discover tab
- Check the content of each of the options by highlighting them ibn the discover tab and then selecting the marc tab to see its content.
- Choose the option that best suits the suggestion in the discover tab then right click then select “attach bibliographic work to suggestion“
- The flash on the work will change to
- Operators can now right click and load into the catalogue using the attached work.
